About the Position
We are seeking an experienced, highly organised, and detail-oriented HR Administrator (Officer) to provide comprehensive administrative and operational support to the Human Resources function. This role plays a critical part in ensuring effective HR service delivery, statutory compliance, and support to both employees and management across the organisation
Minimum Requirements
- Relevant HR Degree or Diploma
- Minimum of 8 years’ experience in a similar HR administration role
- Demonstrated experience in payroll administration
- Strong organisational and administrative skills with high attention to detail
- Proficiency in MS Office
- Solid experience working with HR and payroll systems
- Working knowledge of SharePoint or similar document management platforms
- Health and Safety Officer experience
- Strong interpersonal and communication skills
- Assertive, professional, and solutions-driven approach
- High level of integrity and ability to handle confidential information
- Basic understanding of Industrial Relations processes.
Key Responsibilities
HR Administration & Employee Support
Provide end-to-end HR administrative support, including preparation of offer letters, employment contracts, bonus/target letters, salary increase letters, and general employee correspondence
Maintain and update organisational charts
Handle employee leave queries and general HR-related enquiries
Maintain accurate, confidential, and up-to-date employee records
Policy & Compliance Management
Maintain, update, and control HR policies, ensuring proper version control and compliance
Ensure adherence to POPIA requirements in all HR documentation and processes
Support Information Security initiatives, including coordination and follow-up on mandatory training
Onboarding & Offboarding
Coordinate the onboarding and induction of new employees, including logistical arrangements, system access, and introduction to HR policies and procedures
Manage the full offboarding process for departing employees, including payroll submissions, UIF documentation, certificates of service, pension fund exits, and medical aid cancellations. Arrange exit interviews and ensure the return of company equipment, assets, and access cards on the employee’s last working day
Payroll Administration
Collect, verify, and capture monthly payroll inputs for new employees, existing employees, and leavers
Ensure accurate and timely submission of payroll data, with a sound understanding of payroll processes and statutory requirements
Statutory & Regulatory Reporting
Assist with the preparation and submission of statutory reports, including:
Employment Equity (EE) compliance and reporting
COIDA annual assessments and injury-on-duty claims
Skills Development reporting, including Workplace Skills Plans (WSP) and Annual Training Reports (ATR) to the relevant SETA (MICT)
Employment Equity, Skills Development & B-BBEE
Act as Secretary to the Employment Equity and Skills Development Committees by coordinating meetings, recording minutes, managing EE nomination forms, and arranging training where required.
Serve as the primary Skills Development Facilitator (SDF), supporting employees and managers with skills development requests and ensuring completion of all related documentation (quotations, purchase orders, training requests)
Maintain accurate records for B-BBEE-related HR elements and assist the HR Manager with annual B-BBEE verification processes and audit submissions
Occupational Health & Safety
Act as the appointed Section 16.2 Health and Safety Officer
Coordinate bi-annual Health & Safety committee meetings and liaise with external auditors
Maintain up-to-date Health & Safety documentation and records
Monitor, report on, and ensure the resolution of Occupational Health & Safety actions and issues
Recruitment & Selection Support
Assist with recruitment documentation, including Recruitment Authorisation Requests, job adverts, and job descriptions.
Ensure recruitment processes comply with company policies, procedures, and legislative requirements.
Coordinate pre-employment screening checks, including criminal, credit, qualification, and identity verification.
Employee Benefits & Administration
Medical Aid: Verify monthly billing for payroll purposes and manage the onboarding and removal of members and dependants
Pension Fund (Alexander Forbes): Assist with claims processing, monthly reporting, and member communications.
Fleet Cards: Manage the ordering and cancellation of cards and prepare monthly payroll-related reports
Industrial Relations: Assistance regarding IR related matters such as warnings, documentation for hearings etc.
HR Systems & Document Management
Maintain a strong working knowledge of HR information systems
Act as process owner for HR documentation on SharePoint and related document management platforms
Audit & Governance Support
Assist internal and external auditors with HR-related documentation during annual financial audits
HR Communication & Access Control
Draft and Distribute relevant HR communications to employees.
Issue new access cards and manage changes to existing access permissions.
